Site Information Technology Assessment
Track 1: Profile Today's Environment
A number of the above deliverables are dependent on really understanding the current environment. At the very start of the effort, even before this assessment team was
formed, we will asked the client to begin gathering data on the current environment as part of our agreement. We will use previous studies, Due
Diligence reports, budgets and other financial data, and supplementing these through data collection questionnaires we provide. This includes both qualitative and quantitative analyses. It will be necessary to try to understand as much as we can about today's performance metrics and cost tracking, even though we realize that some aspects are difficult to measure.
Key activities include interviews with the staffs, and reviews of financial data from your accounting systems and any other sources of cost tracking data. Since there are several major centers with significant activity, we would like to visit them; and perhaps interview someone who is knowledgeable about activities in several other sites by phone. We will specifically want to visit with the IT staff and their fellow
clients, have a chance to examine their plans, and visit the to assess the ongoing technical and implementation change management risks.
Track 2: Build a model of tomorrow
In order to recommend the best approach to improve the present environment, we will need to learn as much as possible about the clients current and projected program activity situation to determine what will be required for collaborative/communication in the future in terms of operational support and capacity. We will leverage the data already collected during the and associated Due
Diligence. At most, we would hope to meet with a few key people for approximately
an hour to review the data collected against what we observe first hand.
As a final step in this track of work, we will compare the current and future environments, to determine in what areas
of the client's capability is well-positioned for the future, and in what areas the greatest gaps exist.
Track 3: Identify and assess solutions
Based on where you are today and where you appear to be headed, we will develop solutions around two specific areas:
o Rollout approach, plan and timeline for implementation, including resources and costs, and a risk management plan
o An overall Collaboration/Communication environment that addresses centralization/decentralization issues for communication control and access, collaborative applications, technology infrastructure, and IT organizational roles and responsibilities.
- Assumption: This will be a PROCESS driven solution set. Technology may be recommended
as an enabling toll, not as a shiny new toy to play with!
Key activities include reviews with yourself and working sessions with the various staff. We will also rely on support from a number of
S3D team members who support other clients in similar situations to maximize the leverage of our own standard processes.
Track 4: Choose a course of action
Although this activity culminates in a senior management review, all through the task we would expect to meet with you and a limited number of other senior management stakeholders to review and reflect on our findings and ideas as they are developed. As
S3D will deliver a proposal which will likely consider some variation of sourcing as a solution, we would like the opportunity to discuss with
client management the key objectives for sourcing and understand their personal perspectives on such an arrangement. Reasons may include cost control or reduction, improved service levels or support, and leveraging skills not present in the current organization to the tasks ahead.
